How to send your documents securely

We work from scans, not originals

A certified translation is a rendering of the document you show the receiving body. The receiving body sees your original itself; we only need to be able to read it. So please do not post originals to Ankara. There are two exceptions where a paper document has to be physically in Türkiye: a Turkish apostille on a paper diploma or notarial deed, and some notarised translations where the notary asks to see the apostilled original. We tell you in advance if your order falls into either case.

What a usable scan looks like

• Every page, both sides. The reverse of Turkish civil documents, apostilles and diplomas often carries annotations. Scan a blank back too; it lets us state that it is blank.
• The whole page, edges included. Stamps sit in corners and margins. Cropped scans are the most common cause of a query.
• Colour, flat, no glare. Red and blue stamps disappear in poor greyscale. Lay the document flat, avoid shadows, and photograph straight on if you have no scanner.
• Readable resolution. 300 dpi from a scanner, or a phone photo where the smallest text can be read on screen when zoomed. Phone scanner apps (the built-in iPhone Notes scanner, Adobe Scan, Microsoft Lens) produce good PDFs.
• PDF preferred, JPG or PNG accepted. One PDF per document, pages in order.
• e-Devlet documents: send the PDF you downloaded, not a photo of a printout. The PDF carries the verification code and electronic signature.

1. Which body will receive the translation and by when.
2. The spelling of every name as it appears in your passport or UK records.
3. Whether you want a PDF only or a hard copy as well.
4. For documents going to Türkiye: whether the FCDO apostille is already attached.

What happens to your files

Your documents are stored on our own systems in Ankara, accessed only by the project manager, translator and reviser working on your order, and never uploaded to public machine-translation tools. We are a Turkish company processing personal data of UK residents, so UK GDPR applies to us under Article 3(2) as well as Turkish data-protection law (KVKK). Files are kept for a limited period after delivery so that we can re-issue a certificate if a receiving body asks, and are deleted on request at any time. Before you send

Check that the document is the right one. For Turkish documents, a fresh nüfus kayıt örneği from e-Devlet beats a ten-year-old photocopy; a divorce decree needs its kesinleşme şerhi; a document for Türkiye needs its FCDO apostille first. Getting the document right before translation saves a second order.
