Terms and conditions

The terms on which Hacettepe Translation supplies translation, certification, notarisation, apostille and delivery services to customers in the United Kingdom, including your rights under the Consumer Rights Act 2015.

1. These terms and who we are

These terms apply to every order placed with Hacettepe Tercüme Bilgisayar Yazılım Danışmanlık ve İnternet Hizmetleri Ticaret Limited Şirketi, trading as Hacettepe Translation (we, us), Ankara Trade Registry number 256268, Kızılay Mah. 2. What we supply

We supply translation between Turkish and English and related services: certification for use in the UK, notarised translation in Türkiye, apostille in Ankara, arranging FCDO apostilles through a UK partner, and delivery by e-mail or courier. We do not give immigration, legal or tax advice. What we deliver is described on what your certified translation looks like.

3. Quotes and the contract

Every order starts with a written quote based on the documents you send. The quote states the page count, the price, the turnaround, the delivery method and any third-party items. A contract is formed when you accept the quote and pay. If the documents you then confirm differ from those quoted on, we tell you the revised price and you may withdraw before we start. A quote is valid for 30 days.

4. Your responsibilities

  • Send complete and legible images of every page.
  • Tell us the purpose of the translation, the deadline and the spelling of names as they appear in your passport or application.
  • Confirm that you are entitled to have the document translated and to send us any personal data it contains.
  • Check the translation on delivery and tell us of any error promptly.

We are not responsible for errors that result from illegible images, missing pages or spellings you asked us to use, but we correct them at cost.

5. Price and payment

Prices are in pounds sterling and are set out on the prices page; the price on your quote prevails. No UK VAT is charged. Turkish notary fees are passed through at cost plus the stated service fee. Payment is due in full before we start work. If a third-party fee changes between quote and performance, we tell you and you may withdraw from that item.

6. Turnaround and delivery

Turnaround runs in working days from the first working hour after payment is received, Monday to Friday excluding Turkish public holidays. The PDF is delivered by e-mail. Hard copies are sent by courier from Ankara and normally arrive in 2 to 4 working days; courier times are outside our control but we track every parcel and replace any that is lost or damaged. We have no UK office and do not offer collection. See delivery options.

7. Certification, notarisation and apostille

Our certification statement confirms that the translation is a true and accurate translation of the original document and meets the requirements published on gov.uk. Notarisation and apostille are performed by Turkish public bodies and depend on their opening hours and rules. Whether a receiving body accepts a document is that body's decision; our accuracy and acceptance policy explains what we do if it does not.

8. Our standard of service and your remedies

We perform every service with reasonable care and skill, as section 49 of the Consumer Rights Act 2015 requires. Information we give you about the service before you order, including on this website and in the quote, forms part of the contract (section 50). If we do not perform with reasonable care and skill, you can require us to repeat the service at no cost within a reasonable time (section 55) or, if that is impossible or not done within a reasonable time, to reduce the price, up to the full amount (section 56). If we do not deliver within the agreed time, you can require performance within a reasonable time or a price reduction (section 52).

9. Cancellation

As a consumer you have 14 days from the contract to cancel without giving a reason, subject to the rules on services that start within that period. How this works, and the model cancellation form, are on the cancellation and refunds page, which forms part of these terms.

10. Liability

We are liable for loss that is a foreseeable result of our breaking this contract or failing to use reasonable care and skill. We are not liable for loss that was not foreseeable, for loss caused by a receiving body's decision that is unrelated to the quality or format of our translation, or for business losses if you are a consumer. Except for the liabilities the law does not allow us to limit, such as death or personal injury caused by negligence and fraud, our total liability for an order is limited to three times the price paid for that order.

11. Confidentiality and personal data

We keep your documents confidential, share them only with the people needed to perform the service, and delete them 30 days after delivery. Details are in our privacy notice.

12. Intellectual property

When you have paid in full, the translation is yours to use for any lawful purpose. We keep the right to use our templates, glossaries and certification wording.

13. Complaints

Complaints are handled under our complaints procedure. We acknowledge within 2 working days and respond in full within 10 working days.

14. Governing law and disputes

These terms are governed by the law of the Republic of Türkiye. If you order as a consumer, the mandatory consumer-protection rules of the country where you live continue to apply, and nothing in these terms takes them away. If you are a consumer resident in the UK, you also benefit from the mandatory consumer protection rules of the part of the UK where you live, and you may bring proceedings in the courts there.

15. Changes

We may update these terms. The version in force is the one you were shown when you ordered, and it is attached to your order confirmation.

Frequently asked questions

Do UK consumer laws apply to a Turkish company?

Yes, when the company directs its services at consumers in the UK, as we do. Your rights under the Consumer Rights Act 2015 and the Consumer Contracts Regulations 2013 apply to your contract with us.

What if the translation is delivered late?

Tell us. If the delay is ours, you can require delivery within a reasonable further time or a reduction in the price. If the translation is no longer of any use to you because of the delay, you can cancel and receive a refund.

Can a business customer use different terms?

Business customers order under the same terms, except that the consumer cancellation rules and the consumer limits on liability do not apply. Framework agreements for regular work are available on request.
